Booking terms & cancellation policy
These terms apply to every coaching session, holiday camp and party booked with Microsports. Please read them before completing a booking — you are asked to accept them at checkout.
1. Booking and payment
Places are only confirmed once payment has been received in full and you have received a confirmation email. Prices are shown in pounds sterling and include VAT where applicable.
Places are limited and allocated on a first-come, first-served basis. If a session sells out while an item is in your basket, we will contact you and issue a full refund.
2. Cancellations and refunds
Cancellations made more than 14 days before the session start date receive a full refund. Between 14 and 48 hours before the start date we offer a credit towards a future session. Within 48 hours of the start date we are unable to offer a refund or credit, as coaching staff and facilities are already committed.
If Microsports cancels a session for any reason, you will be offered a replacement session or a full refund for the affected dates.
3. Weather and rain-off policy
Outdoor sessions run in most weather. Where a session cannot safely go ahead — for example lightning, high winds, ice or an unplayable surface — we will move it indoors where a space is available, or issue a credit for the missed session.
Sessions that start and are then stopped early for weather are treated as delivered and are not credited. Please dress children for the conditions, including a waterproof layer and suitable footwear.
4. Illness and absence
Please do not send a child who is unwell, has a temperature, or has had sickness or diarrhoea in the previous 48 hours. Let us know as early as you can — with reasonable notice and, where appropriate, evidence of illness, we will do our best to offer a credit.
5. Medical information and emergency treatment
You must tell us about any medical condition, allergy, medication or additional need that affects your child's participation, and keep those details up to date in your account. Inhalers, EpiPens and any prescribed medication must be brought to every session, clearly labelled with the child's name.
By booking you authorise Microsports coaches and first aiders to administer emergency first aid and, where necessary, to seek emergency medical treatment for your child. We will always contact you at the earliest opportunity.
6. Emergency contacts
A contactable adult must be reachable on the emergency number provided for the full duration of every session. Where possible, please supply a second contact.
7. Safeguarding and photography
Microsports is committed to the safety and wellbeing of every child. All coaches are DBS checked and safeguarding trained. Read our safeguarding policy and diversity and inclusion policy.
Photography and video consent is optional and is requested separately at checkout. You can withdraw consent at any time by contacting us, and we will remove images from material we control as soon as reasonably possible.
8. Code of conduct
We expect children, parents and spectators to treat coaches, officials, other participants and facilities with respect. Microsports may remove a participant from a session without refund where behaviour puts the safety or enjoyment of others at risk.
9. Drop-off, collection and supervision
Children must be handed over to a coach at the start of a session and collected promptly at the end by a named adult. Microsports supervision begins and ends at the advertised session times.
